Companies’ IT landscapes have grown and bear witness to the company’s history. And the bouquet of different systems from different manufacturers and different release versions in numerous languages, distributed to a multitude of international locations, is just as colorful as every story is by nature, especially for larger companies.
However, the resulting complexity threatens to become so huge that it is unmanageable in terms of technical, personnel and financial aspects in the long run. For this reason, companies have been investing in projects aimed at consolidating and harmonizing the IT landscape for years. The end result is the vision of a single central system worldwide, especially in ERP. However, this vision remains unattainable as long as there is no comprehensive strategy for dealing with legacy data and documents.
Consolidation and harmonization of the worldwide ERP landscape immediately results in an often underestimated sub-project: the migration of data and documents from legacy systems. The workload required quickly adds up to 5,000 man-days and more, particularly in the case of larger companies. Added to this, the legacy systems cannot simply be switched off after migration. In historically grown, heterogeneous IT landscapes, a large number of duplicate, incomplete and incorrect data records accumulate over time that do not belong in the new central target system. IT specialists and budgets have to be freed from all these legacy issues.
The solution that fulfills the corporate objectives of ERP consolidation and harmonization projects is to extract the worldwide distributed business information from the applications and the underlying technical systems and store it in a modern, but neutral format on an independent platform in an audit-proof manner.
Since all the extracted data and documents are permanently and legally available on such a platform, only parts of it have to be migrated to the live systems at the central location. If changes to the data structure become necessary, compliance and auditability remain intact because the originals are still on the platform.
The extracted information is stored together with its business context, that means, it is historized, not archived. Users can work with it exactly as they have been used to in the original application and, for example, search for all orders for a specific customer or further training measures for a specific employee and display this information. This makes it possible to decommission the original systems completely after historization.
